You can do this yourself. Adding people and handing out logins is open to the Sales Manager, the Offer Owner and the Growth Operator — it is not Jordan-only, and you do not need to wait for him.
The three separate things
They are deliberately separate, and mixing them up is where the confusion comes from:
| Thing | What it is | Without it |
|---|---|---|
| A team member | A row on the roster: name, email, job roles | They cannot be picked on a form, assigned a call, or paid commission |
| A login (a seat) | A username and password for the portal | They cannot sign in |
| Their job roles | Closer, Setter, Dialer, DM Setter, Sales Manager, Triager, Admin | Forms, leaderboards and the EOD chase route off this |
A person can exist on the roster with no login (fine — that is how you record someone before their first day), and someone's login can be revoked while the roster row stays (which is how you keep everything they ever filed).
Adding someone
Config → Team → Add member.
- Name — required.
- Email — their real work address.
- Roles — at least one. Someone can hold two: Nate is Sales Manager + Closer. Roles are editable later, in place, from the Roles cell.
- Save. They are now on the roster and selectable on forms.
Giving them a login
On their row: Create login.
- Pick a username — 3–31 characters, lowercase letters, numbers, dots and dashes. Short is better:
felix, theo. - Pick their portal role — this is what they can see, and it is not the same as their job roles:
| Portal role | Sees |
|---|---|
| Closer | Sales dashboard, their own forms, their own commission |
| Dialer | Sales dashboard, Dials, their own EOD, their own commission |
| Sales Manager | Everything in this offer — every rep's numbers, Config, commission rates |
| Offer Owner | Everything in this offer |
- Save. The portal shows a one-time password, once. Copy it before you close that box — it cannot be shown again.
- Hand it over directly — Slack DM is fine. There is no invite email; portal logins have no mailbox.
- They set their own password the first time they sign in. Nothing they do afterwards is your problem.
Resetting, changing and removing
| You want to | Do |
|---|---|
| They lost their password | Reset password — new one-time password, access unchanged |
| They should see more or less | Change access — role only, password untouched |
| They have left | Remove login — access gone, roster row and everything they filed kept |
| They have left for good | Also set them inactive on the roster |
Reset and Change access are deliberately two buttons. Handing someone a password should never quietly change what they can see.
The two things you cannot do
- You cannot create or touch a Growth Operator seat — Jordan's and Sam's. The portal answers 403. That is on purpose: it is what stops anyone below that level resetting the owner's password and inheriting the whole system.
- You cannot touch a login belonging to a different client's portal.
Both of those are Jordan's, from the master portal.
Before you hand out a login
Ask whether they also need Close CRM, Fathom and the right Slack channels — the portal is one of four systems, and the usual failure is someone having a portal login and no way to make a call. Doing all four in one sitting is how it is supposed to go.
