Deposits, instalments and getting the rest of the money in

Why a deposit is not a close, and the form that records every payment after the first.

Most of the money on a payment plan arrives after the call that sold it. This page is about that money, and it is the money most commonly lost.

A deposit is not a close

On the post-call form, Deposit and Won are different outcomes and they mean different things:

Filing a deposit as Won inflates the close rate, hides money that is owed from the Money owed panel, and stops anyone chasing the balance. It is the single most damaging mis-file available to you.

The payment-collected form

Portal → Forms → Payment collected. File it every time money lands after the initial payment — a deposit balance, a plan instalment, a part payment.

  1. Deal — the deal the money belongs to.
  2. Instalment — the specific one being paid. The form lists what is open and what is still owed on each.
  3. Amount — what actually landed. Part payments are allowed: pay $500 against a $1,500 instalment and the remaining $1,000 stays open and stays chased.
  4. Paid on — the day the money landed, not the day you are filing.
  5. Payment method — this decides the fee, which decides net cash, which decides commission. Getting it wrong misprices the deal.

What happens when you file it

  • The instalment is marked down by the amount you entered, and closes when it is fully paid.
  • The Money owed panel on the Sales Dashboard updates — Overdue, Due in the next N days, Total still owed.
  • The cash counts toward commission, at the rate that was in force when the deal closed.

Chasing

  • Overdue on the dashboard is your list. It is sorted by how late it is for a reason.
  • The Reminders automation reads the follow-up date from the post-call form, not from your memory and not from a note in Close.
  • #4-a-unsuccessful-payment fires when a payment attempt fails. That is a live person with a card problem, usually recoverable within the hour. Treat it like a lead.

Write-offs

Money that is genuinely never coming can be written off, but that is not a closer action — tell Nate or Jordan. A write-off changes the revenue picture, so it is deliberate and attributable.

When it goes wrong

  • Filed against the wrong deal? Tell Nate. Do not file a second one to cancel the first — the two do not cancel out, they add up.
  • Money landed but you do not know which instalment? Ask before filing. A guess here is a wrong number in three dashboards.
  • A refund or dispute? Not a negative payment on this form. Tell Jordan — refunds reverse commission and that has to be done properly.
